Shopify Staff Accounts vs a Sales Rep Portal: What's the Difference?

When a brand adds its second or third sales rep, the first instinct is to create a Shopify staff account for each. It's already there and it feels free. But it solves the wrong problem.

What a staff account actually grants

A staff account is admin access. Even scoped, it exposes far more of your store than a rep needs, consumes a staff seat, and drops the rep into the full admin UI — which is not an ordering interface. And Shopify has no native concept of commissions, territories, or payouts, so those still live in a spreadsheet.

What a rep portal does differently

  • Scoped by design — a rep sees only their assigned accounts, their own orders, and their own commissions. No admin, no other reps' data.
  • No staff seats consumed — reps aren't Shopify users at all.
  • An ordering interface — pick an account, build the order at contracted pricing, submit. That's the whole job.
  • Commissions and territories built in — the things staff accounts can't do.

The security angle

Contractor reps come and go. Revoking a portal login is instant and total; clawing back an admin account someone has been using is messier and riskier. Least-privilege is simply the right default for outside sellers.
