The problem

Warranty admin is where product brands quietly lose money

Right now it's a Google Form, a spreadsheet of serials, and claims arriving in your support inbox with no coverage record. Here's what that costs you:

  • You don't know who owns your product. Orders tell you who paid, not who's using unit #4,182 after a gift or resale — so you can't reach owners for a recall or a cross-sell.
  • Serial numbers live in a spreadsheet. No one knows which serial shipped on which order, so every claim starts with an archaeology dig.
  • Claims arrive as email. No coverage check, no SLA, no history — just “my thing broke” and a photo, three times a week.
  • Resolutions are manual. Someone hand-builds a $0 order, hand-issues a gift card, and forgets to mark the old unit as replaced.

Sell · Register · Protect · Claim · Learn

One system for the whole life of the unit

1. Sell

On fulfillment, a serial number is pulled from your pool, assigned to the line item, and written to an order metafield for packing slips.

2. Register

The customer registers by magic link, QR scan, theme form, or automatically — coverage starts the moment they do.

3. Protect

A warranty is created from your template and a branded certificate PDF is emailed to the customer.

4. Claim

The customer files from a secure portal, coverage is checked instantly, and you resolve with replacement, repair, refund, or credit.

5. Learn

Registration rate, claim rate, resolution time, and top fault categories show which products fail and how fast.

Five ways in — three need no typing

Get every product registered, effortlessly

Magic-link email

On fulfillment the customer gets a one-click email. Clicking it registers every item on the order — no form filling. Link valid 60 days.

QR codes on packaging

Print an A4 sheet of QR codes (24 per page). Each code opens registration with the serial pre-filled.

Theme form block

Add the “Product registration” block in the Shopify theme editor. It shows the form assigned to that product — no code, no snippet edits.

Automatic registration

Flip one switch and every fulfilled order registers itself, with warranty and certificate.

CSV backfill

Import historical and offline/retail sales by pasting email, serial, name and purchase date. A backfill never hard-stops on plan limits.

Serial engine

Real serial tracking, not a text field

Generate or import

Build serial pools with a prefix and pattern (WH-######), or paste your manufacturer's serials.

Typo-proof

An optional mod-36 check character catches a misread serial while you're on the phone with a customer.

Auto-assignment on fulfillment

Each fulfilled unit takes the next available serial from the matching pool — variant-specific, product-specific, or shop-wide.

On the packing slip

Assigned serials are mirrored into an order metafield so your Order Printer template can show them.

Grey-market flags

Registration checks each serial: already registered, voided, or “not sold by us” — the last is accepted but flagged for review so you can spot distributor leakage.

Per-unit ledger

Every serial has a full history: sold → assigned → registered → claimed → replaced, including which claim replaced which unit.

Warranty engine

Define coverage once. Every registration gets it automatically.

Create warranty templates with a duration in months — or lifetime — and choose when coverage starts: purchase date, registration date, or delivery date. List the covered and excluded faults, then decide whether to review every claim or auto-approve covered faults and auto-deny excluded ones.

Assign a template to a product, a collection, or the whole store — the most specific assignment wins. Expiry reminder emails go out on a configurable lead time (default 30 days), coverage flips to expired automatically on its end date, and a branded warranty certificate PDF — with the owner, serial, coverage window, certificate ID, and your full terms — is emailed to every customer.

The storefront side

Your customers get a real self-service portal

Customers enter their email and get a secure link (valid 24 hours) — no account required. They see every registered unit, its coverage status, and an expiry date or “Lifetime coverage”.

Filing a claim takes 30 seconds: pick the fault from your covered list, describe the issue, and attach up to three photos or videos. If coverage has lapsed or the fault is excluded, the customer is told immediately with the reason — and that claim never reaches your inbox. A bookmarkable tracker shows a five-step progress bar (Submitted → In review → Approved → Resolution shipped → Closed), the event history, and the new serial number when a replacement is issued. Customers get an email at every step.

The merchant side

Every claim, with the coverage already checked

The claims inbox opens on an “Open (needs action)” view and filters by status — submitted, in review, approved, resolution shipped, closed, denied. Set your SLA in hours (default 48); overdue claims get a badge in the list, a red banner on the dashboard, and a warning on the claim itself.

Every claim shows the customer, serial, coverage template, description, the photos they uploaded, and a full timeline of who did what and when. Deny with a saved reason from your canned-response library, keep staff-only internal notes separate from the customer timeline, and reference each claim by its sequential number — CLM-2026-00042.

One click, real Shopify objects

Four resolutions that execute in Shopify

Replacement

Creates a $0 draft order (100% discount, tagged warrantyhub-replacement, customer email prefilled), marks the old serial replaced, and assigns the next available serial to the replacement.

Store credit

Creates a Shopify gift card for the amount you enter, references the claim and customer, and closes the claim.

Repair

Issues an RMA number for the claim (RMA-CLM-2026-00042) so returns for service have a reference.

Refund

Flags the claim for refund so you complete it on the Shopify order page — refunds always follow your normal Shopify process.

It runs whether you're logged in or not

Automation & integrations

Shopify Flow triggers

Registration created, Warranty claim filed, and Warranty claim approved — each carrying customer email, serial or claim number, fault category, and status. Build any automation on top, no code.

Klaviyo events

Paste a private key and registration and claim events flow in as metrics — Product Registered, Claim Filed, Claim Approved, Claim Status Changed — to drive your flows.

Order metafields

Assigned serials are written back to Shopify, so themes, Flow, and packing slips can read them.

Weekly digest email

Registrations, claims filed, claims closed, and claims still open for the last 7 days, sent to any address you choose.

Your own email sending

Transactional email goes through your SMTP, with your brand name and color on every message.

Reliable webhooks

Every webhook is recorded and processed by a background worker with retries, and a reconciliation job replays anything Shopify dropped.

The numbers that tell you what to fix

Dashboard & analytics

Registrations vs plan

Registrations this month against your plan limit, plus total registrations to date.

Active warranties

How many warranties are active and how many expire in the next 30 days.

Open & overdue claims

Open claims and how many are past their SLA, with direct links from the alert banners.

Sold → registered rate

Your registration funnel in one percentage — units sold vs units registered.

Claim rate

Claims as a percentage of registrations, so you can benchmark product reliability.

Avg resolution time

Average time to close across your last 50 claims, auto-switching between hours and days.

Top 5 fault categories

The QC signal: which component fails most — the reason to keep the data, for your product team.

Built for a store that gets audited

Trust, security & compliance

GDPR / CCPA built in

Data requests produce a full JSON export of a person's registrations, warranties, and claims. Customer redaction anonymizes personal data while keeping unit history; shop redaction erases everything.

Audit log

Registration approvals and rejections, pool creation, and GDPR actions are all recorded with actor and timestamp.

Signed, expiring links

Portal links last 24 hours, magic links 60 days, all HMAC-signed. Claim photos are served only through authenticated, shop-scoped download links.

Rate limiting & spam protection

Per-IP hourly limits on every public endpoint, plus a honeypot field on forms.

Strict shop isolation

Every record is scoped to your store; cross-store access returns a 404 by design.

No email enumeration

The portal response is identical whether or not an email is known, so addresses can't be probed.

How it works

1. Create a serial pool

Set up a pool under Serials with a prefix and pattern — or skip it if you don't serialize.

2. Build a registration form

Create a form under Forms and add the “Product registration” block in your theme editor.

3. Define coverage

Set duration, start trigger, and covered faults under Warranties.

4. Turn on magic links

Enable magic-link registration emails in Settings so every order self-registers.

5. Handle claims

Work incoming claims in the Claims workspace — a 5-step checklist on the dashboard tracks your setup.

Made for durable-goods brands

Built for how your category actually fails

E-bikes & scooters

Serial pools per frame model with check characters, a 24-month template starting on delivery, covered faults for battery/motor/controller — and auto-approve so customers aren't waiting.

Consumer electronics & audio

Magic links make registration one click, the certificate PDF is the customer's proof of purchase, and the fault table shows which SKU has a failing driver.

Power tools & outdoor

Claims often need repair, not replacement — issue RMA numbers, keep excluded faults explicit for wear-and-tear disputes, and use the unit ledger when a tool comes back twice.

Small appliances

High claim rate, low unit value — one-click $0 draft orders with automatic serial rotation, or store credit in one field when you'd rather not ship again.

Furniture

Long or lifetime warranties with no expiry, coverage starting on delivery, and a portal so customers can prove coverage years later without emailing you.

Watches & jewelry

Serial numbers are authenticity — import manufacturer serials, put QR codes in the box, and give every buyer a branded certificate PDF.

Solar, batteries & energy storage

Multi-year or lifetime templates, terms text on every certificate, GDPR-ready data export, and a full audit trail per unit.

Brands with a grey-market problem

Registrations with a serial you never sold land in a review queue with the customer's details — that's your distributor-leakage report.

Beyond a form that emails you

Why it beats a spreadsheet — and basic registration apps

Serials assigned automatically

Not a manual lookup — a serial is assigned on fulfillment and mirrored to the order.

Proof of coverage that exists

A branded certificate PDF and a customer portal, instead of “check your email for the receipt”.

Coverage checked instantly

Eligibility is automatic on every claim, with auto-approve/deny — no checking dates by hand.

Expired claims auto-denied

Lapsed-coverage claims are denied automatically with the reason, so they never land in your inbox.

Resolutions that execute

One click builds a real $0 draft order or gift card and rotates the serial — not a hand-built order.

SLA and a full audit trail

Configurable SLA hours with overdue alerts, plus per-claim and per-unit event history — not email threads.

Every plan includes the serial engine, portal, claim resolutions, Flow triggers & GDPR tools

FAQ

Questions merchants ask before installing

Do my customers need a Shopify account?

No. The whole portal and claims flow works for guests using a secure emailed link.

Do I have to use serial numbers?

No. Registration, warranties, certificates, and claims all work without them. Serials add per-unit tracking when you want it.

Can I import my existing serial numbers?

Yes — paste them in, or let WarrantyHub generate them from a pattern.

What if a customer registers a serial I didn't sell?

It's accepted but flagged for review, so you can approve genuine offline sales and spot grey-market units.

Does it work with my theme?

Yes — the registration form is an Online Store 2.0 block you add in the theme editor. No code.

Can coverage start on delivery instead of purchase?

Yes. Coverage can start on purchase date, registration date, or delivery date.

Can I offer lifetime warranties?

Yes, with no expiry date.

Can claims be approved automatically?

Yes. Per template, covered faults can auto-approve and excluded faults auto-deny; everything else routes to you.

What happens when I approve a replacement?

WarrantyHub creates a $0 draft order in Shopify, marks the old unit replaced, and assigns a new serial to the replacement.

How do refunds work?

The claim is marked for refund and you complete it on the Shopify order page, so refunds always follow your normal Shopify process.

Will my customers get emails from my brand?

Yes — your sender name and brand color, sent through your own SMTP.

Do you handle GDPR?

Yes. Data export, customer redaction, and full shop erasure are implemented as Shopify's required privacy webhooks.

Does it slow down my storefront?

No. The form is dependency-free vanilla JavaScript loaded deferred, and it renders nothing at all if no form is assigned.

What happens to my data if I uninstall?

Shopify sends a shop-redaction request 48 hours after uninstall and everything is deleted.

WarrantyHub is the after-sales OS for product brands on Shopify. It registers every product you sell, assigns and tracks a serial number for each unit, issues branded warranty certificates, and runs claims all the way to resolution — replacement, repair, refund, or store credit — without leaving Shopify.

Serialization is built in, not bolted on: serial pools auto-assign a serial to every fulfilled unit and mirror it to an order metafield for packing slips, with a permanent per-unit ledger. Claims actually execute in Shopify — one click creates a $0 replacement draft order, issues a gift card for store credit, generates an RMA, or denies with a saved reason. Magic-link registration, certificate PDFs, expiry reminders, SLA timers, Flow triggers, and Klaviyo events all run automatically on a background worker.
